Terms and Conditions

Please read and familiarise yourself with the terms and conditions below. Once we confirm your booking, a contract is made between DISCOVERY HIDA, hereafter referred to as ‘we’, and you. We confirm your booking once we have accepted full payment for your tour.

1. Booking

  1. Bookings should be made via our website or by contacting us by email.

  2. Your booking is not confirmed until we have issued your booking confirmation.

  3. A booking confirmation is issued once we accept full payment from you.

2. Payment

  1. Pricing is listed in Japanese Yen unless otherwise stated.

  2. Full payment must be made within two weeks after you book a tour. The due date is stated on our confirmation.

  3. Should we not receive payment by that date we reserve the right to treat your booking as cancelled.

3. Cancellation

  1. Cancellation of your booking must be done by email or by telephone.

  2. Upon cancellation, you will be liable to pay the cancellation fee listed below.

  3. Please be aware if you are booked through a third party such as a travel agent, their cancellation policy and terms and conditions may differ from our own. Be sure to check their particular terms.

  4. We reserve the right in any circumstances to cancel your booking. In this event, we will return to you all the money you have paid to us, or if possible we will offer you an alternative tour product of a similar value. Cancellation of your booking must be done by email or by telephone.

For group tours:

    • Cancellations more than 2 days prior to your tour departure date will incur no charge.
    • Cancellations at any point in the 2 days prior to your tour departure date will incur a charge of 50% of the tour cost.
    • Cancellations on the day of your tour departure, or no-shows, will incur a charge of 100% of the tour cost.

For private tours:

    • Cancellations more than 7 days prior to your tour departure date will incur no charge.
    • Cancellations between 3 and 7 days prior to your tour departure date will incur a charge of 50% of the tour cost.
    • Cancellations during the 2 days prior to your tour departure, cancellations on the day, or no-shows, will incur a charge of 100% of the tour cost.

4. Changes by us

  1. We reserve the right to make changes to our itineraries or cancel any tour, either prior to the tour starting or during the tour. If alteration is necessary we will endeavour to make sure that changes are minor and we will advise you by email or by telephone at the earliest possible date.

  2. If a major change becomes necessary we will inform you as soon as reasonably possible. A major change is one that involves a material change to the advertised tour. When a major change occurs, provided it does not arise from circumstances amounting to force majeure, you will have the choice of either accepting the change of arrangements or getting a refund.

  3. We will not pay you compensation if we have to cancel or change your travel arrangements in any way because of unusual or unforeseeable circumstances beyond our control. These can include, for example, war, riot, industrial dispute, terrorist activity and its consequences, natural or nuclear disaster, fire, adverse weather conditions, epidemics and pandemics, unavoidable technical problems with transport.

5. Changes by you

  1. If you wish to change any part of your confirmed booking, you should inform us by email or by a telephone as soon as possible. Whilst we will do our best to assist you, we cannot guarantee that we will be able to meet your request.

  2. Where we can meet a change request made by you, you may be required to meet any extra costs incurred by us (and any costs or charges incurred or imposed by any of our suppliers) in making the requested change.

  3. Where we are unable to meet your change request and you no longer wish to proceed on the basis of the original booking, this will be treated as a cancellation of your booking and cancellation charges may be payable by you, as outlined in these terms.

6. Travel insurance

  1. There is no personal travel insurance cover included in the price of the tours. We strongly recommend that you take out comprehensive insurance cover for cancellation, medical expenses, personal accident, personal baggage, money and public liability before you travel. Failure to obtain travel insurance is at your own risk.

  2. We accept no responsibility for theft, loss or damage to personal belongings at any time during the duration of your tour.

7. Complaints procedure

  1. We welcome your feedback, both in respect of our own service and those provided by other suppliers. In the highly unlikely event that you may have any complaint during the course of your tour, please bring this to the attention of our guide at the time. We will endeavour to resolve the matter to your satisfaction.
  2. Any complaint must be made within 28 days of the end of your tour.

8. Your obligations and responsibilities

  1. You must inform us in writing of any medical condition that requires attention or medication before your tour commences.

  2. You acknowledge that your tour may involve a degree of personal risk to safety and health.

  3. It is important that you check country requirements and obtain valid passports and visas before you arrive.

  4. During your tour, your guide may take photographs and videos of you, and these may be used in our advertising and publicity material (such as our websites, brochures etc) without obtaining any further consent or payment in respect of such photographs and/or videos.

  5. When you book with us, you accept responsibility for any damage or loss caused by you to person or property.
  6. At all times you must show courtesy and respect to your guide, other suppliers, local people and other tourists.

9. Updates of Terms and Conditions

We reserve the right to update and/or alter these terms and conditions at any time. The latest terms and conditions can be found at our website and will supersede any previous versions.
